Common Mistakes in Notarization that You Cannot Ignore

Minor mistakes in notarization of documents may seem inconsequential. But, what seems simple apparently can lead to trivial problems in the long run. Even minor mistakes in notarized documents can lead to the rejection of documents by the receiving person or authority. Add to it the penalties and fees levied on the client. What's more, if the client is litigious, then it may lead to serious litigation. The same runs true for online notarize services as well.


Un-Ignorable Mistakes of Electronic Notarization

To err is human, but whenever the consequences are dire, you can’t accept those mistakes as minor errors. But, do you know what are those common errors made during notarization of documents. For, online notarize services, it might seem as easy as just signing and stamping, in reality it’s quite a big responsibility.

Here are the common mistakes that cause rejection of your notarized documents. A common mistake made by notaries is signing in a hurry without paying due attention to the instructions given in the notary certificate. A common error made by notary public is signing in the signer's check box.

  • The date of notarization is of high value. A post-dated document or improper date leads to many issues. The law demands the notary public to mention the date on which the notarization is actually done.

  • Often notaries sign on the date, name or stamp, thus, making the same illegible. This can lead to rejection of the document. So, signatures must be done where it is properly visible.

  • A proper stamp or eSeal is all you need. An upside down or blurred stamp is not accepted, even during online notarize process. Moreover, the stamp must not be covered by a signature or other.

  • Notaries receive a stamp with the expiration date. Some notaries ignore the expiration date and continue to use the same stamp post expiry also. This can also lead to rejection. Notaries must ensure getting a new stamp with a new expiry date.

  • The certificate has a space for the venue. This space should contain the details of the venue where documents were notarized. In cases where the venue is improperly written or is incorrect, due corrections must be made and signed by the notary. Ignorance will only lead to rejection.

  • The name and signature of the notary as signed on the certificate must match the name and signature filed with the Commissioning Official. An additional or missing initial and change in the signature is not acceptable.

  • Notarizing documents without the presence of the signers is fraudulent. No frauds are acceptable in any form, be it online or offline.

  • Incomplete certificates are almost among the most common happenings. Even one or two incomplete columns result in rejection of documents.

  • White-out is a great way to hide minor writing errors. As the use of white out is perceived as tampering of documents, it is forbidden in notarized documents.

  • Notaries sometimes fail to demand a valid ID of the signer before notarizing the documents. This is more common when you are doing online notarize. As the primary motto of notarization is to verify the signer's identity, skipping this step can lead to dire consequences.

Steering away from these mistakes ensures a streamlined online notarize process and restricts undue delay.
